Not going to tell you guys how to run the show, but I'd highly suggest establishing a web-based job tracking system.
Would probably allow you all to focus more on what you need to do as opposed to who should do what/when etc.
When a person is done with a task they could simply mark it complete, upload it to whatever file server you're using, and then claim a new job without having to consult with anyone on what to do next.

We already make use of task based tracking systems, and have been doing so for last 2-3 years. It might not be obvious because there is little reason to bring them up publicly.
