Project Management with Trello - How to use it

Submitted by Erik on

Hello everyone!

We will be starting to use a website called Trello to track the project, Currently only the 3d department is starting to use it, however that may change as other areas pick up on it. Now to answer some questions.

What is trello?

Trello is Project Management Software, Its used to keep track of what is happening in a project, Trello consists of 'Boards' which contain 'Lists' which in turn contain 'Cards'. These cards are what tracks your tasks.

What is wrong with the forum?

The forum is great! Its just terrible for keeping track of what is happening. When new members join the project they will look at what is happening and get incredibly confused (I know I did!)
Forums are great for things such as feedback and discussion on everything related to the project, But this is also bad for tracking things as people come and go and things are lost among pages of people talking. So what Trello will do is allow us to see everything that is happening on the project at one single place.

Do I have to use trello?

No, you don't. However we would appreciate it if everyone helped out and joined, that way we know exactly what is happening.

How to use Trello

To gain access, please private message me with your email address or existing trello username (Click here!)

Once you are invited you will be greeted by this view, As more people get involved more boards will appear. You will mainly stick with your departments board. but feel free to poke around and see what other people are doing!

Once you select a board, you will have the option to join it. I selected the 'Modeling/Texturing Department' board

From here you can see that there are 3 main Cards, Unclaimed, Incomplete (And unclaimed) and Complete.

Unclaimed is for things that need doing, but have no prior work done on them

Incomplete (And unclaimed) is for jobs that have had work done on them, but something has caused the person who originally claimed them to leave that job. so someone is needed to finish it.

Complete speaks for itself, This is where everything that is finalized and ingame goes.

When you select a card, you get a new screen showing you what it contains.

I will only cover the basics here, but it should be everything you need to get started!

  • Title: Starting from the top, you can click on the text to change the title of your card.
  • Add: Under the add menu, you get the option to add people to the card, Change the label of the card, Give it a checklist, Due date and an Attachment.
  • Attatchments can be anything, From .zip files to images, You can also link dropbox files to the cards.
  • Activity is the area to write comments about the card, Simple enough!

When you go to add a card, we request that you link the forum thread that the card originated from. For example in the previous image I linked the daedra interiors thread.

We would also like it if you could label your card. However that is up for discussion as to what we want the labels to stand for. (Labels are the little blocks of color on each card)

Currently we are thinking of using them as some sort of progress tracker.

Lastly here is the link to our board!

Thanks Erik.

I was just randomly clicking on things like a monkey with a typewriter. Now I think I can be much more efficient

If all departments get involved, this could really help us run a tight ship.

Now if the scripts team could start using Git or something similar.. Oh boy!

Also a note to all Department heads. Feel free to PM me and I will set you up with an admin account so you can have your own board and invite people to collaborate on it.

As part of the increasing visibility of project progression, I'd like if you use the Public Board as well. It should be available to you as soon as you join the group on Trello. You don't have to post everything you make, but dropping something once in a while would be great. I'll update it as well just to make sure something happens on it. Right now the public won't see it, but when I get everything up and running it would be nice if there was actually something on the board.

It doesn't have to be images, you can write brief texts as well. Such as "We're currently trying to animate spears, if someone out there has knowledege of this, please get in contact."

Also, please mark models with green for "Done." or in yellow for "In progress".

I would love to thank everyone for being so on-board with this mini project! We now have a great idea of what everyone is doing!

We are missing a few people on the art board, but its starting to fill up, I have also sent messages to the artists who have not set up accounts yet.

Thanks again!

I'm now wondering if it would be a good idea to make the board public, and embed it into the forum somehow. give people an overview of what is happening.

Note that making it public means that anyone can view it, but only people we have added to the board can edit.

Just testing some Iframe, ignore this! Unless it works, then gaze at it with magnificence!

EDIT: Erik this seems to be working, I don't know if you want to use it for something, but here it is!
